Irrevocable data loss -financial damages go into milions

Especially in the past few months, there has been an increase of business complaints about business problems and downtimes resulting from data loss due to missing backups.

There were several customer cases where the transaction data or the database came to harm and therefore a costly restoration of the remaining data was necessary. Some were so badly damaged or affected by the encryption virus, that only the possibility existed to reinstall the system (DocuWare, SmartFix, JobRouter®). This effort can take up to several days or weeks of one’s working time: Even worse, this is associated with both a high and a total loss of those colleagues who are working with those systems on a daily basis.

No backup, but you believe to be prepared for all eventualities? Think twice – it may happen something unexpected.

  • Hardware failure (Hard drive crash)
  • Attack from viruses and trojans (short term/long term)
  • Ransomware (payments do not help)
  • Natural forces (fire, water, earthquakes)

That’s why you should always take this into consideration when it comes to backups:

  • The goal of a good backup should always be to minimize the loss of your day-to-day business in the event of a total system failure.
  • A common misconception: a raid replaces the backup! - No! Depending on the cause of the damage, multiple hard drives can fail/be harmed or encrypted at the same time. No raid can help with that.
  • If you have backup solutions in place, you should check that they can be brought up in a timely manner and that everything runs smoothly. In order to ensure smooth operation you should test and play it through in advance.
  • Ideally, your servers are virtualized, so there are daily backups. If required, those can be selected and started up at the push of a button.
  • Be sure to include all relevant directories when backing up the file system. These include: SmartFix (DB and Exchange directories, including customized clients), JobRouter® (DB, transaction data, JR archive files paths, module-specific paths, JR main directory according to the customer-specific JobRouter® setup), DocuWare (DB and archive storage locations ).
  • Since some problems will not be noticed until later, it is advisable to back up your backups over a longer period of time. For example, a daily copy, a copy of the current week, and a copy of the month

When all these points have been clarified within your company, you have taken a good precaution and are prepared for hardship. However, if these points are not clearly defined, we recommend that you sit down with your local administrator and make the necessary provision.
