Check and correct construction invoices faster

JobMind Construction Software Module Relieves the Load on Construction Management

Mannheim, February 07, 2023 - Although digitization offers many advantages, the construction industry is falling short of its potential. According to a PwC study on the progress of digitization in the construction industry, 40 percent of the companies surveyed see a need to catch up when it comes to digitizing their administrative processes. This includes digital invoice processing. Construction management often still checks complex invoices by hand, with each correction resulting in a recalculation of subtotals, discounts and the total amount. With the JobMind Bau software module from Mannheim-based JobRouter AG, more than 140 construction companies are already digitizing and automating their processes. "In construction, there is a shortage of personnel on all fronts. Digital invoice verification and correction takes work away, automates time-consuming work steps and relieves construction managers and clerks in their day-to-day business," says Stefan Weimann, Product Manager at JobRouter. He continues, "It also supports the construction manager in his obligation to properly check invoices."

Digital processing of construction invoices
With JobMind Construction, digitized construction invoices can be analyzed and processed directly on the screen. Printing and scanning invoices as well as manual recalculations are completely eliminated. Instead, construction managers can enter changes directly on the screen, whereupon the software automatically recalculates all totals. "In view of the increasing digitalization in the construction industry, digital invoice verification is not only an efficient but also a consistent measure for companies. With the digital tool, transparency, traceability and availability of invoices can be increased and duplicate processing can be prevented," says Weimann.

Degree of automation of up to 70 percent
JobMind Construction is specifically tailored to the construction industry. The combination of visual display of invoices, digital processing and subsequent dispatch via the JobRouter® software is unique on the market to date. The module also ensures tax-secure invoice processing in accordance with §13b UStG. In combination with other modules such as JobMind Cloud, construction companies increase the degree of automation in invoice verification and correction by up to 70 percent. Additional functions such as the pre-qualification of invoice data, the automated digitization of receipts and invoices, and audit-proof digital archiving are possible with the JobRouter® software.

JobMind Construction: Complete digitization of invoice verification

  1. Automatic analysis: In combination with the JobMind Cloud, JobMind Construction automatically performs an analysis of the document after receiving an analog or digital invoice. In doing so, the software extracts all the information contained on the document using OCR (optical text recognition) technology.
  2. Manual re-keying: this is followed by a visual check by the clerk. Any data that has not been read out can be added manually, ensuring that the invoice data is captured in full.
  3. Correction and release: site management receives a fully captured and correctable digital invoice. They check and correct the individual invoice items directly on the computer or laptop. JobMind Construction automatically calculates subtotals, carryovers and the invoice total.
  4. Export of the corrected invoice: The corrected invoice can then be exported as a PDF file and sent or printed out.
